Best tools for tracking applications? after 17 years as an insurance claims processor

I am looking for free tools that do not spam me. I want reminders to follow up. Are there tools to avoid?

Thanks for writing this out. I went through something close to it 9 months ago, and it got easier once I kept a simple log of every call and form.
