Best tools for tracking applications? after 11 years as a paralegal

I am looking for free tools that do not spam me. This is my first time dealing with any of this. A spreadsheet with dates and follow-ups worked a little. Are there tools to avoid?

Thanks for writing this out. I went through something close to it 5 months ago, and it got easier once I kept a simple log of every call and form.
