Not sure if my job search activity counts - first time posting

I am keeping a spreadsheet of applications, but I worry it is not what the agency expects. There are 18 people counting on me, so I am trying to be careful. My state says to keep records for a year. What do you record?

Keep everything in writing and save the confirmation numbers. It made the follow-up calls so much easier.
